Preparing a Board Pack from Property Data
Owners and regional directors want fewer slides and clearer questions. A practical sequence for turning PMS extracts into a readable board pack.
Board packs grow when every department adds a chart. The pack becomes harder to read, and the meeting drifts into defending the charts rather than deciding next steps.
Begin with three questions ownership actually asks: How full were we? At what rates? And did outlets move with rooms? Answer those before adding secondary views.
Use the property’s own prior year as the first comparison, then add a peer property only if definitions match. Annotate renovations, temporary closures, and large group blocks so nobody mistakes a planned soft period for a surprise.
Keep charts labelled with the exact period and the unit — rooms sold, available rooms, or occupancy percentage. Mixed units on one page create false debates.
End the pack with a short list of decisions requested: rate calendar changes, a deeper review of one outlet, or acceptance that a shoulder month performed within the expected range. Packs that end without a question tend to produce meetings that end without a decision.
